Privacy Policy

This policy explains how 2838791 Alberta Inc., operating as True Collar Built (“FleetRego,” “we,” “us”), handles information when you use the FleetRego website, mobile applications, key-box hardware and related services in Canada or the United States.
Information we collect
Depending on the features you use, we may collect account and contact information; shop and crew information; vehicle details such as VIN, plate, photos, mileage and maintenance records; bookings and schedules; inspection, issue and service records; key-box access events and device status; uploaded photos and documents; notification tokens; messages you send to support; and basic technical logs such as device type, IP address, timestamps and error information.
Camera and photo-library access is used only when you choose to scan a VIN, QR code or barcode, take a photo, or upload an attachment. We do not continuously record from your camera.
How we use information
We use information for internal business purposes: to operate and secure FleetRego; authenticate users; manage fleets, bookings, maintenance and key access; send requested notifications; provide customer support; prevent misuse; comply with law; analyze reliability and feature usage; and develop product improvements and enhancements.
We may use aggregated or de-identified information to understand product performance and improve FleetRego. We do not attempt to re-identify it.
When information is shared
We share information only as needed with service providers that help us operate FleetRego, such as hosting, email, SMS, push-notification, payment, vehicle-decoding and diagnostic providers. They may use it only to provide those services to us. We may also disclose information when required by law, to protect people or the service, during a corporate transaction, or when you direct us to share it.
We do not sell personal information and do not share it for cross-context behavioural advertising.
Vehicle decoding
If a shop enables MarketCheck NeoVIN, a scanned VIN may be sent to MarketCheck to obtain vehicle specifications. FleetRego caches the result so repeated scans generally do not require another decoder request. Shops control whether this integration is enabled.
Retention and deletion
We retain information while an account is active and as reasonably needed for service, security, tax, warranty, dispute and legal obligations. Account holders can initiate permanent account deletion in Settings → Account → Delete account. We remove or anonymize personal identifiers, revoke access and delete information that we are not legally required to retain. Backup copies expire through our normal backup-retention cycle.
Security
We use reasonable administrative, technical and physical safeguards, including encrypted network connections, access controls, authentication and audit records. No system can guarantee absolute security.
Your choices and rights
You may update account details in the app, control camera/photo and notification permissions in device settings, opt out of optional SMS messages, and request access, correction or deletion. Canadian and U.S. privacy rights vary by location; we will respond as required by applicable law.
Children
FleetRego is not directed to children under 13, and we do not knowingly collect their personal information.
Changes
We may update this policy as FleetRego changes. We will post the current version here and update the effective date. Material changes may also be communicated in the app or by email.
